Responsible for:
- Undertake strategic reviews of Departmental operation and make necessary changes. Manage Departmental staff including the allocation of duties, the provision of advice to staff on work-related problems, performance management, the approval of leave, recruitment etc.
- Manage the salary and non-salary budget for the Department of the Academic Secretary.
- Provide advice to and administrative support for the following committees:
- University Course Planning Committee; and
- Academic Programs Committee.
- The Academic Secretary is required to clarify policy issues and provide advice at meetings. Other duties include writing papers for consideration by Academic Senate, the preparation of agenda and minutes for meetings; preparation of draft resolutions to be considered by committees; ensure that appropriate action is taken following meetings, including the promulgation of decisions; liaise with other committee officers, University officers, Presiding Officers and committee members in relation to papers to be considered; maintain up-to-date membership information; ensure that recommendations and supporting documentation passes through the committee system as necessary; maintain appropriate committee records; schedule meetings of committees; make venue arrangements; research committee-related issues and prepare briefing material as required. In addition, the Academic Secretary also provides assistance or advice on meeting procedures and matters affecting the proceedings of meetings and the conduct of the business of a committee.
- Provide advice to staff, students and members of the public on academic regulations, policy and procedures.
- Provide support for the Presiding Officer of Senate in relation to Senate course and subject policy by providing advice, undertaking research and developing position papers on specific academic policy issues, drafting/revising policy and liaising with other University staff on the Presiding Officer's behalf.
- As Executive Officer to the Academic Programs Committee, prepare position papers on course accreditation policy for the Committee and act in an advisory capacity on policy to that Committee. As secretary to the Committee, prepare agendas, minutes and action sheets and any follow-up correspondence.
- Review all course documents requiring approval by committees outside the Faculties to ensure conformity with academic policy and provide feedback/advice to Faculties on how these proposals will need amendment to conform to policy and documentation requirements.
- Amend course accreditation policy and course approval pro formas in accordance with Senate decisions on these, and promulgate new and revised policies.
- Contribute to the development of a central course database that can provide up to date information on all aspects of courses required by various operations of the University.
