CSU Charter for Electronic Messaging
This is a voluntary charter aimed at encouraging good practice in the sending and receipt of electronic messages within CSU. It aims to reduce the overall volume of electronic messages that an individual needs to process by encouraging selectivity in who messages are sent and copied to within the organisation.
How I will Process Electronic Messages that are Sent to Me
- I will try to read messages sent only to me at least once a day when I have easy access to the University's email systems but in any event at least once a week when I am on not holidays.
- I will try to read those messages that are not sent only to me at l east once a week except when I am on holidays
- I will try to read What's New and News at least once a week except when I am on holidays as I appreciate that this will encourage people to reduce the volume of electronic messages that are sent directly to me.
How I will Respond to Electronic Messages Sent to Me
- If you send a message only to me I guarantee to make every effort to acknowledge receipt of the message and notify you of how I am going to deal with your message within two working days . I do not guarantee to acknowledge the receipt and/or action other messages.
- I will endeavour to provide you with a formal response to a message, where a formal response is required, within the time lines detailed in my unit's service charter
- I will think twice before including the original content when replying to a message.
When I Send an Electronic Messages
I will always think twice before I:
- Send a message to multiple recipients.
- Copy a message to one or more recipients.
- Seek automatic confirmation of the reading of a message by the addressees.
- Send an electronic text message in case a telephone call would be a better alternative.
- Send an electronic message if I am in the same building as the single recipient and could actually talk to them.
I will always consider if a message would be better placed on What's New and News than as multiple messages sent to a list of individuals.
I will attach a signature to my messages promoting my support of this charter.
