Teleconferencing @ CSU
Teleconferencing is a telephone call between three or more participants. Two separate teleconferencing systems are provided to meet the needs of staff at CSU. One is for general meetings and the other for teaching purposes. Teleconferences required for teaching must be booked at least two days in advance by completing a form and submitting it to the IT Service Desk whereas teleconferencing for general meetings can be organised at any time, by any staff member.
A feature included in both systems is the ability to have external participants join the teleconference. An external participant is anyone who joins from off campus and includes both CSU staff and non CSU staff.
The instructions provided below are for general meetings. If you require a teleconference for teaching you have two options
- Provide the Wagga dial in number to your students (they will incur STD charges to join if they are outside of the Wagga local call area), this is provided at no cost to your school or
- Provide the 1300 number so your students can join the teleconference from anywhere in Australia for the cost of a local call (you will need to provide an account code to charge against, charging is incurred per connection and per hour)

Create a teleconference
- Dial 37555 (internally) or 02 6933 7555 (externally)
- You will hear “This conference call requires an [access code], please enter the code followed by the # (hash) key”
- Enter the [access code]. (Use your 5 digit telephone number as the access code. A different code can be used but ensure you advise all participants of the access code prior to the meeting)
- You will hear “The number you have entered is [access code]. If this is the desired entry press 1, otherwise to re-enter press 2”
- Press 1 if the code you heard was correct, otherwise press 2 and return to step 2. If code is correct continue to step 6
- You will hear “Please hold while you are connected to the conference call”
The teleconference has been successfully created and music will play until a second participant joins
Join a teleconference
- Dial 37555 (internally) or 02 69337555 (externally)
- You will hear “This conference call requires an [access code], please enter the code followed by the hash key”
- Enter the [access code]
- You will hear “The number you have entered is [access code]. If this is the desired entry press 1 otherwise to re-enter, press 2”
- Press 1 if the code you heard was correct otherwise press 2 and go back to step 2.
- You will hear “Please say your name to be connected to the conference call followed by the hash key”
- Say your name, pause for 1 second then press the # (hash) key. The pause ensures the system records your name properly
- The system will announce you to the conference. All participants will hear “[your name recording] is joining the conference call”
You have successfully joined the teleconference
Join a videoconference by telephone
TIPS
When you are in a conference and you hear a beep it means a new participant has joined. If there is another participant speaking they should pause so everyone hears who is joining the conference. If there is a beep and no name is announced it means the participant did not record their name
Participants can leave a conference call without ending the conference if there is at least one participant still connected
The number you dial to join a Video Conference by phone will not always be the same number. You must use the Video Conference Booking Information System to lookup the number to ensure trouble free connection to your conference
