Videoconferencing With External Participants

CSU joining an external videoconference

An external videoconference is one which is being hosted outside of CSU by another organisation.

  1. Before contacting the IT Service Desk you will need to obtain the following information from the videoconference organiser or their nominated IT representative
    • Conference name
    • Start & end times
    • Is there a conference PIN being used? If so what is it?
    • Are they using ISDN or an IP based system? If IP obtain the IP Address for their external bridge
    • Contact details for the IT/VC Officer who is responsible for the conference
    It is preferable to obtain this information in an email which can be forwarded to our IT Service Desk for their records.
  2. Use Outlook to book your preferred CSU videoconference meeting room(s) prior to contacting the IT Service Desk
  3. Contact the IT Service Desk to request a test connection with the external site. Advise you have booked a CSU videoconference meeting room and provide all information from steps 1 and 2

After the IT Service Desk has tested and verified the connection they will send an email advising you how to connect to the external videoconference.

Prior to contacting the IT Service Desk

  1. Use Outlook to book your videoconference and preferred CSU videoconference meeting room(s)
  2. Obtain contact details for the IT/VC officer responsible for testing the connection at the external site
