I've never used a University vehicle before, what do I need to know?

When using a University vehicle for the first time, please arrange for collection of the vehicle during office hours of 8am to 4pm. This will allow the Transport Officer to run through all the documentation and procedures that pertain to University vehicles.

However if this is not possible, the vehicle folder will contain all the necessary information that you require. Any questions may be directed to the Transport Officer on your return.

How do I collect a motor vehicle at Bathurst?

Between the office hours of 8am to 4pm, keys & folders can be collected from the Transport Office, located at building S12, on Bathurst Campus.

Outside of these hours, keys and folders can be collected from Security, located at the Boilerhouse, building S9. Having collected your allocated folder, the motor vehicle will be located at the Transport Compound, building S12.

If returning vehicles after hours, please park the vehicle in the Transport Compound and deliver the folder and keys to Security at the Boilerhouse.

Staff using University vehicles on either official business or private hire are permitted to park their own vehicles within the confines of the Transport Compound when space permits. Please do not park in front of the roller doors.

My travel plans have changed and I'm going to be later than originally indicated, what do I do?

It is important to always allow enough time on your travel order to cope with minor delays. This is for your own safety however, please be aware that other staff are dependant on you returning the vehicle at the stated time. We all appreciate that unforeseen delays can crop up, so contact the Transport Officer, phone 02 6338 4111 or if after hours, Security on phone 02 6338 4999 if a delay is expected in returning a vehicle.

I filled up the University vehicle with fuel at a service station, but had to pay cash or by credit card, how do I get reimbursed?

University vehicles used for official business are supplied with a petrol card in the folder, please always check what fuel card is available before filling. However, if this has happened, reimbursement is by petty cash, take the fuel docket / tax receipt & credit card slip to the Transport Officer who will authorise the payment. Petty cash can then be claimed at the Cashier's Office.

It is also important to be aware that some of the University's fleet vehicles are diesel and must not be driven if filled accidently with unleaded fuel. Should this situation occur, DO NOT drive the vehicle, contact the Transport Officer who will make the necessary arrangements for the vehicle to be collected by the nearest authorised agent and a new vehicle supplied.

On the Bathurst Campus there is no refueling station. Please ensure vehicles returned to the Transport Compound are full of fuel.
