The current Author is able to use the Roles pop-up in their My Outlines screen to handover authoring permissions to another Coordinator who has a responsibility for all offerings linked to the Outline.
How to enable a Coordinator to be made the Author
A staff member required to be the Author must be in either the Subject Coordinator or Nominal Subject Coordinator role all offerings linked to the Outline. Population of the Coordinator role must be done via the Subject Coordinator Maintenance Form (SCMF). Once the Coordinator is assigned a Coordinator responsibility for all linked offerings the ‘change Author’ icon will appear against their name in the Roles pop-up and the current Author will be able to transfer the Author role to them.
How to transfer the Author role to another Coordinator
The current Author must:
| 1) | click on the Roles icon within their My Outlines screen |
| 2) | click on the ‘change Author’ icon adjacent the name of the staff member who they wish to assign the Author role. The 'change Author' icon depicts a person plus a green arrow. |
| 3) | click 'Yes' to confirm they wish to change Author to the selected Coordinator noting that upon confirmation they will no longer be able to edit the Outline. |
Automated email notifications to both parties will confirm that authoring permissions have been removed from the original Author and transferred to the new Author.
