Tables
To cut and paste Tables from Word into the Subject Outline tool:
| 1. | Highlight and copy the table in Word |
| 2. | Open the Editor in the required field |
| 3. | Select ‘Paste from Word’ option in the Tool Bar. This will open a ‘Paste from Word’ dialogue box.![]() |
| 4. | Paste the list into the ‘Paste from Word’ dialogue box. |

| 5. | Click OK |
| 6. | Click ‘Save’ the table in the editor window by clicking ‘Save’ at the bottom of the editor. |

Next you will need to check whether the table fits into the Online ‘View’ or the print ‘View PDF’ columns by clicking on ‘View’ or ‘PDF Preview’ buttons at the top of the screen.
If they do not go to ‘View Print Layout’.
Column headers
It is not possible to predict whether tables will be split over two pages in the print pdf version of a Subject Outline. You will want the column headings to start at the top of the table on the next page and not look like this:
To make Column headers occur on the following page follow this procedure:
| 1. | Right Mouse click anywhere in the table and select ‘Table Properties’ |

| 2. | In the ‘Table Properties’ dialogue box Click on down arrow in the ‘Headers:’ heading and select ‘First Row’ |

| 3. | Click OK. Then Save and close editor. Click ‘PDF Preview’ to check the table. In the Print pdf view the Column headings will appear on the next page. |

To paste references from Word to into the Subject Outline tool, and keep reference formatting:
To cut and paste Tables from Word into the Subject Outline tool:
| 1. | Highlight and copy the reference list in Word |
| 2. | Open the Editor in the required field |
| 3. | Select ‘Paste from Word’ option in the Tool bar |

| 4. | ‘Ctr+V’ to paste table into ‘Paste from Word’ dialogue box. |

| 5. | Click OK. You will notice that the Italics have been kept but the reference has not been indented. |

| 6. | To Indent: Highlight references and select APA Reference from ‘Style’ drop down menu. |

| 7. | References are presented as in the Word Document. |

View Print layout
To check whether your text will fit into the Online ‘View’ of print ‘PDF View’
| 1. | Click on the ‘[view web layout]’ text in the Header, at the top of the Subject Outline tool |

| 2. | This marks a red line down the left-hand side of the Subject Outline tool. Any text to the right of the red line it will not fit in the margin of the published Subject: both in the Online ‘View’ or pdf ‘PDF Preview’ versions. |

To adjust the table when it the table does not fit into the layout, adjust the table width to 100%
| 3. | Right mouse click in the table and Select Table Properties |

| 4. | Change table width to 100 and change pixels to ‘percent’ |

| 5. | Note this does not change the table to within the ‘Print layout view, because the editor window extends beyond that margin. |

| 6. | Click ‘Save’ to save the changes. |

Insert images
| 1. | Open Editor on Subject Outline tool, Select the Image icon in the Tool bar |

| 2. | Using the ‘Browse’ button search for the image you want. |
| 3. | Enter a description of image in the Alternative text line. This is for Accessibility of the web site for students who use text readers. |

| 4. | Click upload |
| 5. | The image should be no larger than 100%. Adjust Image size, using percentage, no more than 100%. You can put boarder around image, align it to wrap around text and other options. HSpace and VSpace to be about 3 or 5, but adjust to your preference. |

| 6. | Click OK |
| 7. | If image is not right. Right Mouse click in editor and select ‘Upload Image’. 9I have set the image at 50%: Maybe too large.) |

| 8. | This will take you to the Upload Image dialogue box so that you can adjust the settings you had selected. |
| 9. | When finished click ‘Save’ |
Pasting lists
To Paste lists into the Subject Outline, Copy the list from Word.
| 1. | Highlight and copy the List in Word |
| 2. | Open the Editor in the required field |
| 3. | Select ‘Paste from Word’ option in the Tool bar |

| 4. | Ctr+V to paste the list into the ‘Paste from Word’ dialogue box. |

| 5. | Click OK. The list is pasted in the Editor |

| 6. | Save the List in the editor window by clicking ‘Save’ at the bottom of the editor. |

Different lists
| • | Lists starring with (a, b, c, I, ii, iii etc.) |
| • | Embedded lists |
The Editor in the Subject Outline will enable bulleted and ordinal numbered lists. If you require different numbering systems (a, b, c, I, ii, iii etc.) or embedded, copy and paste from Word. For example an embedded list pastes in and keeps its format.

Headings
You can cut and paste headings from work. Follow the same procedure for cutting and pasting text. Take the following example of a heading that is a Level 2 Heading in Word.
| 1. | Highlight and copy the text with the Heading in Word |
| 2. | Open the Editor in the required field |
| 3. | Select ‘Paste from Word’ option in the Editor tool bar |

| 4. | Paste text into the ‘Paste from Word’ dialogue box. |

| 5. | Click OK |

| 6. | If the header is too large, as in this case change it using the Source Code. |
Source Code
If you want to make subtle changes to any part of the text you can choose the Source code to make adjustments. For example if the header pasted too large you can change the size of the header in the Source Code.
Change size of heading copied and pasted using ‘Paste for Word’ procedure.

| 2. | Select Source in the Editor tool bar |

| 4. | Identify the Source Code that you want to change. In this example the Size of the Heading is too large. Identify Heading size |

| 5. | In this case the ‘font size’ is 5. Manually change it to 3. Click on ‘Source’ in Editor tool bar to check the size. |

| 6. | If this is OK, Click Save. If not select ‘Source’ and change again. |
Quotation
If you ‘Paste from Word’, and you have indented the quotation in Word, it will be indented in the Subject Outline Editor.
To indent a quotation in the Subject Outline editor:
| 1. | Highlight text in Editor |

| 2. | Click on the down arrow in the ‘Style’ box and select ‘Quotation’ |

| 3. | Save |

Templates
The Editor has templates for:
| • | APA Referencing |
| • | Code |
| • | Illustration title |
| • | Note |
| • | Primary text |
| • | Quotation |
| • | Sub Heading 1 |
| • | Sub Heading 2 |
| • | Table title– this enables the use of tables for more demanding formatting. It keeps the text size in this table as the standard ‘Primary text’ size. |
