The Edit screen provides the Author with a set of tools to assist in editing and managing the Outline: Data Refresh, Compliance Check, Ready for QA, View, PDF Preview and Delete.

Data Refresh
The Data Refresh function can be used to update the display of all Enterprise Data within the Outline once it has been added or modified within its source system. This function also updates all non-editable Autotext displayed within the Outline. Once the process has completed, a pop-up box will display the list of sections which encountered an update due to the refresh.
Enterprise data refers to University information that is stored within its authoritative database and is drawn into the Subject Outline. Enterprise data cannot be edited within the Subject Outline - it must be amended in the source system. For example, if a Subject Coordinator as per the SCMF changes or becomes known, Communications Directory details for the Subject Coordinator changes or becomes known, the layout of the objectives in CASIMS is modified, etc.
Non-editable Autotext is text which has been included according to CSU, Faculty or School policy and must not be edited by the Author. From time to time, 'owners' of the Autotext may need to update the content - therefore a Data Refresh will draw in the latest information as approved for inclusion by the Autotext 'owner'. For example, Senate may amend Academic Regulations, support services may need to update their contact details or service information, etc.
Compliance Check
This is a self-initiated quality control function to assist the Author in checking that information is contained within all mandatory components of the Subject Outline prior to the quality assurance process as required by Faculty policy. Mandatory sections are marked with a red asterisk (*) within the Edit screen. Also see Summary of Mandatory Sections.
IMPORTANT: Due to the automatic provision of a blank table in the Schedule section of an Outline, 'Schedule' will not display in the Compliance Check Results even though the table may have been left blank. Please ensure the appropriate Schedule information is included prior to your Outline's quality assurance review. |
Once the process has completed, a pop-up box will display the list of mandatory sections which are void of information. The tool will not allow the Outline to undergo a QA review and be published until the listed sections contain information. If an Outline has been created for multiple offerings a Compliance Check will be performed against each subject offering linked to the Outline.

Ready for QA
Clicking the 'Ready for QA' button initiates an automatic Data Refresh and Compliance Check (see above). Upon successful completion of these automated processes the Outline/s will obtain a status of 'Awaiting QA'. See Outline Development Process for status information and alternate development paths.
If an Outline has been created for >1 offering, at this point the Outline splits into individual Outline for each linked offering so as to enable the quality assurance of the Outlines by QA Officer/s specific to each offering and subsequent publication of a specific Outline to each student cohort.
Outline/s then become available for a QA review by the QA Officer/s who are assigned responsibility within the SCMF to quality assure the Outline. QA Officers access the Outline from their Quality Assurance list.
Once QA has been performed on the Outline the QA Officer is able to provide comment and either:
| ▪ | approve the Outline as being Ready to Publish - the Outline will then auto-publish overnight if / when the subject site Subject Outline tool is available to all site members; or |
| ▪ | Request revisions be made prior to publication - the Outline becomes editable once again for the Author's revision. The QA Officer may also opt to pre-approve the requested revisions - if so, the Ready for QA button will be replaced by the Ready to Publish button to enable the Author to revise the Outline and publish without requiring further QA. |
IMPORTANT: Once the Outline is marked 'Ready to Publish' AND the subject site tool is made available - whether manually or automatically - the Outline will auto-publish during an overnight process. See Publish an Outline for full detail. |
View
This option provides the 'student eye view' of the Outline as it currently stands, i.e. what the student would see within the subject site Subject Outline tool. Also see View an Outline.
PDF Preview
This provides a view of the Subject Outline to date. The publication date (if any) and version number (if any) display within the footer of the PDF. See View an Outline.
Delete
WARNING - USE WITH CAUTION The delete function permanently deletes the Subject Outline and all of its authored content - it will NOT be recoverable. To learn more see Delete an Outline. |
Delete is available to the Author prior to the Outline obtaining QA approval. Once the Outline has obtained QA approval the Outline can be varied by the Author. To learn more see Vary an Outline.
