How to manage an Outline for a Year Long Subject

The Subject Outlines tool publishes an Outline to the subject site which matches the offering for which the Outline has been created. Therefore, Outlines for Year Long Subjects must be created to align with the management of the subject site for the Year Long Subject.  See below for Year Long subject site management procedures.  See also Publication of a single Outline for multiple offerings.

 

Standard Year Long Subjects

Standard Year Long Subjects have one (1) intake of students per annum.

Standard Year Long enrolment pattern

 

It is recommended that for Standard Year Long Subjects that learning and teaching continues within the initial subject site for the duration of the subject.  To explain using the enrolment pattern above (where enrolment and site creation occurs per session):

 

1)learning and teaching for Session 2 continues within the Session 1 subject site for the duration of the year long subject; and
2)the Session 2 subject site is deactivated via a Service Desk Request.

 

Therefore, the Outline created for the Session 1 offering should be created to cover the entire year.

 

Crossover Year Long Subjects

Crossover Year Long Subjects have more than one (1) intake of students per annum, i.e. there are continuing and commencing  cohorts enrolled in the subject concurrently.

Crossover Year Long enrolment pattern

 

It is recommended that for Crossover Year Long Subjects that learning and teaching continues within the subject site which has been created for each cohort's first session of study for the duration of the subject.  This requires continuing students to be made 'inactive' in the subject site created for their second session - as the subsequent site is required for the commencing cohort only.  To explain using the enrolment pattern above (where enrolment and site creation occurs per session):

 

1)learning and teaching for continuing students (Cohort A) remains within the Session 1 subject site for the duration of the year long subject; and
2)the Session 2 subject site is retained for commencing students (Cohort B); and
3)Cohort A are made 'inactive' within Cohort B's subject site via the Participant List. This can be performed by any staff in the Subject Coordinator role for the subject site.

 

Therefore the Outline should be created for each cohort for the entire year using the offering for the cohort's first session of study.
