Person/s responsible for authoring the Outline on behalf of the Subject Coordinator must be placed in the Nominal Subject Coordinator role. The Subject Outlines tool recognises the Nominal Subject Coordinator as having the appropriate authority to create and author an Outline for the particular subject offering/s.
This role was specifically created to accommodate various situations where the substantive Coordinator is not yet known, not available or not responsible for authoring the Outline when it is required, e.g. Subject Convenor responsibilities, partner arrangements, new or casual staff, etc. It is important to note that regardless of who authors an Outline, the name and contact details of the substantive Subject Coordinator (as per the SCMF) will automatically display within the Outline.

Delegate authoring
In the example below: if Allan Davis is required to author the Outline for the three (3) listed subject offerings, he must be added as the Nominal Subject Coordinator for the Wagga Internal and Offshore Tutorial offerings. Since by default Allan already has permissions to author for his Wagga Distance offering, he only requires additional 'Nominal' permissions to author the Outline for the other two (2) offerings. Peter and Mark are listed in the SCMF as the Subject Coordinators for their subjects - therefore their names and contact details will still automatically display within the Outlines for their specific subjects even though Allan will Author the Outlines on their behalf. Allan may create and author separate Outlines for each of the three (3) offerings; OR select to link all three (3) offerings to the same Outline. Similiarly, if a fourth party was required to author the Outline on behalf of the three Coordinators, they would need to be placed in the Nominal Coordinator role for all three offerings.

Team authoring
Alternatively, if all Coordinators must contribute to the Outline content, they must take on the Nominal Subject Coordinator role for the other subject offerings to enable the Author role to be handed around to each other via the Change Author function. In the example below, Allan, Peter and Mark are Nominal Subject Coordinators for each others subjects to enable their permissions to become the Author for each subject offering regardless of whether all three (3) offerings were linked to the same Outline or an individual Outline is created for each subject.

1 SAL listing = 1 Outline
Only one (1) Outline will be able to be created per subject offering on the SAL, i.e. once a staff member with a Subject Coordinator or Nominal Subject Coordinator role (as per the SCMF) creates an Outline for an active subject on the SAL, other staff with a responsibility for the subject will no longer be able to create an Outline for the same subject offering - the offering will disappear from their dropdown list in Step 2 of the the 'Create New Outline' process and appear in their My Outlines list.
Outline Roles
Once an Outline has been created, roles can be determined by clicking on the Roles icon for the Outline within the My Outlines or QA list. The Author can be determined by any staff member via the tool's Outline Search function.
Only one (1) person can be the Author or QA Officer at any one time - however the person currently in the role has the ability to handover their role using the Change Author or Change QAO functions via their Roles pop-up.
Data Refresh
If the Subject Coordinator becomes known after the Outline has been created, the Outline Author must enter the Edit screen and click 'Data Refresh' to draw the latest Coordinator data into the Outline. To learn more see Data Refresh.
