Publish an Outline

Academic Senate regulations relating to Subject Outlines (Academic Manual L6.3 - section 1.2 Issuing Subject Outlines) states:

Subject outlines shall be issued to students online (via Subject Outlines within CSU Interact subject sites) and shall be published on the relevant interact site no later than two weeks prior to the commencement of the session.

That is, two weeks prior to session is the latest point in time that an Outline should be published - a cut-off date rather than a due date. The subject site Subject Outline tool goes live 28 days prior to session.  Once the site tool is published, Outlines which are 'QA Approved - Awaiting Publication' will auto-publish to the site during an overnight process.  Please note that Distance Education Learning Materials Packages are posted to students around 28 days prior to session.

During any period after the site tool goes live but the Outline is not yet published, site members who access the Subject Outline tool will be presented with a message indicating that the Outline should be published no later than 14 days prior to session start and is still being prepared.  The message also provides Student Central contact details for enquiries relating to Outline availability and a link to textbook information.

 

The 'Ready to Publish' button

Clicking the 'Ready to Publish' button initiates an automatic Data Refresh and Compliance Check.  Upon successful completion of these automated processes the tool will mark the Outline as being ready for publication within the subject site Subject Outline tool.  If the Subject Outline tool has been published to 'All' site members and the Outline has been marked 'Ready to Publish' it will automatically publish the Outline to all site members during an overnight process.

 

IMPORTANT

Two conditions must be in place for an Outline to publish to the subject site Subject Outline tool during an overnight process:

 

1)  the Outline must be marked 'Ready to Publish' within the My Workspace Subject Outlines tool; AND

 

2) the subject site Subject Outline tool must be available to 'All' site members.

It can be made available to manually via the subject site Site Info > Edit Tools menu; OR

it is automatically made available 28 days prior to session start.

 

Therefore once the Outline is marked 'Ready to Publish' AND the subject site tool is made available

- whether manually or automatically - the Outline will auto-publish during an overnight process.

 

Publication prior to 28 days before session: e.g. early Res School, partner session, etc.

Simply mark the Outline as 'Ready to Publish' within the My Workspace Subject Outlines tool; AND

make the subject site Subject Outline tool available to 'All'

- the Outline will then be made available to all site members during the auto-publish overnight process.

 

Pre-approved QA

Under normal circumstances, the QA Officer (QAO) will click the Ready to Publish button once they have performed a QA review and deemed the Outline as being ready to publish to students.  However, a QAO may opt to pre-approve revisions which enables the Author to revise the Outline and trigger the Ready to Publish process without any further QA.
