Changes have been made to the Subject Coordinator's Maintenance Form to accommodate new roles specifically created to support the Subject Outlines tool. Note that the new Marker role was also created to support the EASTS redevelopment.

 

The roles specifically created to support the Subject Outlines tool are:

Nominal Subject Coordinator - person/s responsible for authoring the Outline on behalf of the Subject Coordinator.
QA Officer - person/s responsible for assuring the quality of an Outline. This may be the Author if Faculty policy allows.

 

Academic Senate mandates there must be one definitive Coordinator for each cohort, however the Nominal and QA Officer roles  allow multiple staff added to accommodate for the varied nature of each task across the university.  As such, a 'Bulk add' feature has also been added to the SCMF.  This feature is explained below.

 

The proviso still remains that each person added to any SCMF role must be a current valid staff member of CSU.

 

Standard addition of staff into Subject Outlines tool roles

“Coordinator entry and maintenance” is now known as “Add/Modify/Remove user(s) for an offering”.

 

To streamline the process as much as possible, the Subject Outlines tool roles have been included in the standard Subject Coordinator form.  This means where a staff member is in multiple roles for the offering, it is only an extra click to include them. You can also quickly see the other staff currently stored under the cohort in various roles. The process for entry is the same except now you must select the role in which you wish to add the Staff member for the cohort (as opposed to defaulting the staff member to the Subject Coordinator role.

 

 

Bulk addition of staff into new roles

To reduce the amount of data entry required to populate the Subject Outlines tool roles, a 'bulk add' feature is included for both the 'Nominal Subject Coordinator' and 'QA Officer' roles.  Staff who regularly perform these processes across the School can be added via this feature rather than added for each cohort.

 

Please note that adding a staff member via the bulk add feature will essentially give them the permissions to create and author an Outline for any subject and perform QA on all Outlines for the school.  Therefore, to avoid clashes of responsibilities within the School, please ensure that staff who are added via the bulk add feature are made well aware of the specific tasks they are required to perform for each subject.

 

Note that the EASTS 'Marker' role cannot utilise the bulk add feature due to restricted nature of student assignments.
