SCMF and Alesco preferred name

The Subject Coordinator for the specific session and study mode of the subject offering is populated from the Subject Coordinator Maintenance Form (SCMF) which is maintained by each School.

 

If the listed Subject Coordinator has registered a preferred name with Human Resources, the preferred name from Alesco will be displayed.  Please notify Human Resources if the displayed preferred name requires amendment.

 

Subject Coordinator Communications Directory contact details

If a Subject Coordinator is listed within the SCMF, their contact details which are available from the Communications Directory will automatically display under the Coordinator's name.  The Subject Coordinator's Communications Directory entry must be maintained by logging an IT Service Desk Request.

 

Unknown Subject Coordinator

If a Subject Coordinator for the subject is not listed within the SCMF, the text ‘To be advised’ will display.  An Outline may be published with the Subject Coordinator as 'To be advised' - however once the Subject Coordinator becomes known, procedures for varying an Outline and notifying students which comply with the Academic Manual must be followed.  Refer to the Academic Manual part L6.3 section 1.3.2 Teaching Staff Identification and Contact Details.

 

When the Coordinator becomes known, the Author must enter the edit screen and click the Data Refresh button to update the Outline with the new data.  If a Data Refresh is performed after the Outline has been QA Approved or Published, the relevant process for a 'variation' applies - however variations to the Coordinator name and contact detail sections are exempt from QA. Other teaching staff

The staff member with subject coordination responsibilities should be placed in this role within the Subject Coordinator Maintenance Form (SCMF).  If different staff member/s are responsible for teaching the subject then their name, contact details and consultation procedures should be authored in the appropriate ‘Other Teaching Staff’ sections within the Subject Overview and Contact Procedures groupings.
