Your Enrolment

Each student is responsible for their enrolment each year.  In most courses for the first session of your study with CSU, the University will endeavour to list the recommended subjects in your letter of offer.  However you will need to check and confirm your enrolment is correct and complete for the full year of study ie that the subjects are correct and that any prerequisite study requirements have been met.

You can check your enrolment by viewing My Degree Planner or your online transcript.

Enrolling

Q. What's the deadline to enrol?
A. The deadline to enrol (add subjects) is the Friday of the first week of session.

Q. How do I complete my enrolment?

  1. You can view a User Guide about enrolling online at Student Administration Online.  This will outline the whole process and options available in the Online Office.
  2. Then go to the Online Administration Office and enter your password.
  3. From the main menu, click the Enrol Online "Start" button.  This will take you step by step through the re-enrolment process.

You need to enrol for the full year by selecting subjects in each Session or Term required for your course. 

Students not intending to re-enrol should use the Online Administration Office to:

  • Apply for Leave of Absence
  • Apply to graduate
  • Withdraw from a course

Note: These options are accessible from the main menu in the Online Administration office in the section headed "Apply for".  When you add and delete subjects you will be able to see the changes online immediately.  However leave of absence and course withdrawal requests are sent to Student Administration for processing, so please allow time for that to happen and then check your transcript for confirmation.

Q. Which sessions do I enrol in?
A. You need to enrol for the full year by selecting subjects in each Session or Term required for your course. 

Students studying in Australia may enrol in Sessions 1, 2 and 3 if their course offers subjects in each session.  Some courses require compulsory enrolment in Session 3.  The list of courses currently requiring Session 3 enrolment is here.

Students studying at a CSU campus overseas may enrol in Term 1, 2 and 3

Dates for each Session or Term can be found in the Principal Dates.

Q. Which subjects do I enrol in?
A.     Subjects and recommended enrolment patterns can be found in your course structure in the Handbook (for the year you commenced your course) or in My Degree Planner.  You need to check Subject Availability here or by clicking on the subject in your My Degree Planner record.  If you are still unsure, you should contact your Course Coordinator.

Q. How many subjects can I enrol in for each session?
A. The expected load for an undergraduate full-time student is 4 x 8point subjects (total 32 credit points) each session.  Most subjects are 8 points.

Distance education undergraduate students are expected to study 2 x 8point subjects each session (total 16 credit points).

Postgraduate students may have other requirements and you should check with your Course Coordinator if you have any queries after referring to the Handbook for the recommended course enrolment pattern.

To enrol in more than the normal study load you will need to provide the Course Coordinator's written approval to Student Administration.

Q. My course includes a subject studied over more than one session - how do I enrol for this?
A. You will need to add the subject to your enrolment for each appropriate session of the year. 

Q. How will I know if my online enrolment worked?
A. After completing your enrolment check your online transcript for confirmation or review your My Degree Planner record.

Q. What happens if I forget to enrol?
A. After the Friday of the first week of session you will not be able to enrol online and adding subjects will incur a late fee.  You will need to obtain approval from the Subject Coordinator and Head of School for the late enrolment using the Enrolment Variation form.

If late enrolment is denied you will need to apply for Leave of Absence via the Online Administration Office .

You may also receive notification that we have no enrolment recorded for you.  If so you will need to act quickly to ensure your student record is updated appropriately and avoid late fees or other academic penalties.

Subject Availability and/or Residential Schools

Q. How can I find out which session a subject is offered?
A. Search the Subject Availability List to find out when subjects are available and the campus they're taught from.  You can search the list by subject code (eg ACC100), year, session (eg 201130 if you are searching only for subjects offered in Session 1) or mode of study (eg Distance or Internal).

You can also go to My Degree Planner and click on a subject listed there to display when the subject is offered.

Q. Can I find out what a subject is about before enrolling in it?
A. If your course allows you to select electives you may want to know a little about the subject before your enrol. You can find a brief description of each subject by clicking on the subject code in the Subject Availability List or in the University Handbook.  You can also use this information to check for any pre-requisite study requirements.

Q. How can I find out if a subject has a residential school?
A. Distance education subjects in particular may include a residential component where you attend one of the university campuses for intensive study.  Some subjects have compulsory Residential Schools.   You can check the Residential Schools Information on the Student Services pages.  Alternatively you can search the Subject Availability List for the subject and the far right hand column will show whether the subject has a residential school. 

Q. I get an error message when I try to add a subject saying 'incorrect combination of subject code, mode and campus' - what should I do?
A. This message indicates you have the incorrect Subject Availability for the subject you wish to enrol in. Go to Subject Availability, enter subject prefix eg ACC, enter Number eg 100, enter year eg 2011, leave all other fields as %. Click 'Get Subject Availability'.

Check term ID (session), mode and campus the subject is offered in and enrol by using this information

Changing my Enrolment

Q. Can I change my enrolment?
A. You can add subjects to your enrolment up until the Friday of the first week of session. You can delete subjects online until the session census (withdrawal) date.

Q. How can I change my enrolment?
A. You can change your enrolment at Student Admin Online up to the Friday of the first week of session.  After that time you can use Student Admin Online to withdraw from subjects or apply for a Leave of Absence up to the census date, but to add a subject after the first Friday you will need to use the Add a Subject after the start of Session form.

Q. Will I receive a refund of my Tuition fees for any subjects I have withdrawn from?
A. Not automatically, you will need to apply for Remission or Reimbursement of fees using the appropriate form.  International students should refer to the CSU International Refund Policy.

Q. Can I take a break from my study (apply for a leave of absence)?
A. If you are unable to study for a session you can apply for Leave of Absence (LOA) before the census date for the session.  Check the LOA regulations in Section 14 of the Enrolment Regulations.  The maximum amount of leave in any course may not exceed four sessions in any four consecutive calendar years.

Note:  if you need to reduce your study load for a session rather than not study at all for that session, you can amend your enrolment online before the census date for that session

Using the Online Administration Office, under "Apply for" on the main menu click the "Leave" button.

If Leave of Absence is approved, your enrolment for that session will be deleted and replaced with Leave of Absence, you should allow 21 days for processing and then check your online transcript for confirmation.

Note: Leave of absence is not available if you are enrolled in Single Subject Study or Cross Institutional Study programs.

Q. When is the deadline to withdraw from a subject 'without academic penalty'?
A. The deadline to withdraw from a subject without a grade being recorded is the census date for the session. Census dates for shown in the Important Dates. 

Q. I'm expecting to graduate - what should I do?
A. With graduation ceremonies now scheduled for December, it is likely that you will have already received notification of your potential graduand status and therefore you will not need to re-enrol.  However you can also indicate your intention to graduate by using the Online Administration Office. Under "Apply for" on the main menu click the "Graduation Info." button.

Cancelling my Enrolment

Q. How do I cancel my course enrolment?
A. It is possible to cancel your course enrolment by using the Online Administration Office. Under "Apply for" on the main menu click the "Cancel My Enrolment" button.  Please allow 21 days for processing.

Points to Note: 

  • If you wish to resume studies at a later date you will need to reapply for admission in competition with other students.
  • Talk to Student Central about other options such as applying for leave of absence, transferring to a different course or reducing your enrolment.
