Your Enrolment

Q. How do I complete my enrolment?

  1. Go to the Online Administration Office and enter your password.
  2. From the main menu, click the Enrol Online "Start" button. This will take you step by step through the re-enrolment process.  You need to enrol in all the subjects you wish to take in the coming year. If you are unsure about which subjects to choose consult the handbook or information provided by your Course Coordinator or School.  If you are unsure about when subjects are offered search the subject availability list.  Your Student Liaison Officer can assist if you have difficulties with the online enrolment process. 

Students not intending to re-enrol should use the Online Administration Office to:

Note: These options are accessible from the main menu in the Online Administration office in the section headed "Apply for …".  When you add and delete subjects you will be able to see the changes online immediately.  However, leave of absence and course withdrawal requests are sent to your Student Liaison Officer, so please allow time for processing then check your transcript for confirmation.

Q.      Which sessions do I enrol in?
A.      The University has introduced a new academic calendar from 2010.  You will now study in Sessions 1 and 2 instead of Autumn and Spring.  If you were studying in Trimesters 1, 2 and 3 you will now study in Sessions 1, 2 and 3. The session codes are created by the current year (ie 2010) followed by the numbers 30, 60 and 90.  The session codes for 2010 are:

Q.      Which subjects do I enrol in?

A.      You should refer to your course structure, University handbook or information provided by your Course Coordinator to work out which subjects to enrol in.  If you experience difficulties with your subject selection you should contact your Course Coordinator for advice.

Q.      How can I find out which session a subject is offered?

A.      Search the Subject Availability List to find out when subjects are available and the campus they’re taught from.  You can search the list by subject code (eg ACC100), year, session (eg 201030 if you are searching only for subjects offered in Session 1) or mode of study (eg Distance, Internal or Tutorial). 
To search for a particular subject, select the subject code prefix (eg ACC) from the drop down menu then add the number which completes the subject code (eg 100 to search for ACC100).  Then select the year, and % in all other boxes (ie term ID also referred to as session code, mode and campus) and click Get Subject Availability.  This will show you all availabilities of your chosen subject for the year.  If you know the term ID (ie 30, 60 or 90) and mode (distance, internal or tutorial) you can select these options to find the campus. 
If you are in the add subjects area you can select the Search Subjects in this Session link (top left of screen) to get a list of all subjects available in that session. Selecting your subject from this list will insert  the correct combination of subject code, campus and mode for you to add to your enrolment.
Note: distance education subjects are taught from one campus each session while internal subjects may be offered at multiple campuses.  For example the subject ACC100 is offered in Session 1, 2010 by distance from Bathurst campus and internally in Albury, Bathurst, Orange and Wagga Wagga.

Q.      Will all my distance education subjects be taught from the same campus?

A.      You may find that some distance education subjects in your course are taught from another campus.  To find the right campus for distance education subjects you should search the subject availability leaving the campus field with the default %.

Q.      How many subjects can I enrol in for each session?

A.      Full-time students usually enrol in a total of 32 credit points per session.  Most subjects are 8 credit points each, so 4 subjects per session is the usual full-time enrolment.
Part-time distance enrolment is 16 credit points per session, so 2 subjects per session is the usual part-time enrolment.  Most courses offered by distance education are designed to be studied part-time.
You should refer to your course structure / recommended enrolment pattern for details about your course as not all subjects are 8 credit points.  If you want to progress through your course at a different rate, you should liaise with your Course Coordinator.  To enrol in more than the normal study load in some courses you will need to provide the Course Coordinator’s written approval to your Student Liaison Officer.

Q.      My course includes a subject studied over more than one session – how do I enrol for this?

A.      You will need to add the subject to your enrolment for each appropriate session of the year.

Q.      Can I find out what a subject is about before enrolling in it?

A.      You can find a brief description of each subject by clicking on the subject code in the Subject Availability List or in  the University Handbook at http://www.csu.edu.au/handbook/handbook10/subjects/

Q. How can I find out if a subject has a residential school?

A.      Search the Subject Availability List for the subject and the far right hand column will show whether the subject has a residential school.

Q.      I get an error message when I try to add a subject  saying “incorrect combination of subject code, mode and campus”– what should I do?

A.      Select the Search Subjects in this Session link (top left of screen) to get a list of all subjects available in the session.  Choose  your subject from this list and the correct combination of subject code, campus and mode will be added for you.  If your subject is not on the list it’s not available in the session you selected.

Q.      How will I know if my online enrolment worked?

A.      After completing your enrolment check your online transcript for confirmation at https://online.csu.edu.au/Inter/Action?type=B&cmd=trans_menu

Q.      Can I change my enrolment?

A.      You can add subjects to your enrolment up until the Friday of the first week of session.  Once online access to add subjects in a session has been removed a late fee will apply and you will need to write to your Student Liaison Officer asking to be enrolled late into the subject.  You will need to provide your Student Liaison Officer with written approval from the Subject Coordinator and Head of School for the late enrolment. 
You can delete subjects online until the session census (withdrawal) date.  International students should refer to the CSU International Refund Policy.

Q.      Can I enrol or change my enrolment by phone?

A.      If you are unable to make changes to your enrolment online you can make a written request to your Student Liaison Officer by email, eBox, fax or letter.  Enrolment changes cannot be made over the phone.

Q.      What’s the deadline to enrol?

A.      You should enrol for all applicable sessions of the year by mid January.

Q.      What happens if I forget to enrol?

A.      You should try to enrol online once you remember and contact your Student Liaison Officer if you have difficulties.

Q.      Doesn’t the University enrol me?

A.      Where possible the University will enrol you for your first calendar year of study which is printed on the blue enrolment form supplied with your offer of admission.  You then need to enrol online each year into the appropriate subjects to continue studying.

Q. I’m expecting to graduate – what should I do?

A. You can indicate your intention to graduate by using the Online Administration Office. Under "Apply for" on the main menu click the "Graduation Info." button. Also use the Online Administration Office to make sure your contact details (mailing address, email address and phone numbers) are up to date.  Alternatively, you can contact your Student Liaison Officer.

Q.      Can I defer my enrolment (apply for a leave of absence)?

A. If you are unable to study for a session you will need to apply for Leave of Absence (to ensure you remain enrolled in your course) by using the Online Administration Office before the census date for the session. Under "Apply for" on the main menu click the "Leave" button.   Leave of absence is not available if you are enrolled in Single Subject Study or Cross Institutional Study programs.
If Leave of Absence is approved, your enrolment for that session will be deleted and replaced with Approved Leave of Absence. If you apply for Leave of Absence you should allow time for processing, then check your online transcript  for confirmation.  If you have already had two or more sessions of leave approved in your course you will need to send a written request (email, eBox, fax or letter) including your reasons to your Student Liaison Officer (supporting documentation may be required).
Alternatively, if you need to reduce your study load for a session you should amend your enrolment online before the census date for that session. You can contact your Student Liaison Officer if you need assistance.

Q. When is the deadline to withdraw from a subject “without academic penalty”?

A.   The deadline to withdraw from a subject without a grade being recorded is the census date for the session.  Census dates for 2010 are:

Session 1, 2010    26 March 2010
Session 2, 2010 6 August 2010
Session 3, 2010 3 December 2010

Q. How do I Cancel my Course enrolment?

A. It is possible to cancel your course enrolment by using the Online Administration Office. Under "Apply for" on the main menu click the "Cancel My Enrolment" button.  Please allow time for processing. Alternatively, you can contact your Student Liaison Officer.

A. There is a Student Liaison Officer in Student Administration available to provide you with assistance.  Your Student Liaison Officer is based on the course you are studying and your home administrative campus.  Click to find contact details for  your Student Liaison Officer.
Alternatively, if you received an eBox message regarding re-enrolment, reply to the message as it will go to your Student Liaison Officer.  Please include details of the problem or error message.
