1. CSU Research Output (CRO) Repository
The CSU Research Output (CRO) Repository presents publicly available research and scholarly outputs. It contributes to the growing international trend for Open Access to scholarly outputs and makes research literature freely available on line. Material submitted to the repository must comply with the Submission Policy to be made publicly accessible. The full text material can not be added to the Open Access Repository if copyright restrictions exist. In such cases citation and abstract will be added. Embargoes will be observed and material can be added to CRO when the embargo is over.
ALL CSU staff are required to submit their peer-reviewed pre-publication manuscripts for the DEST Higher Education Research Data Collection (HERDC) as an electronic file into CRO from 2007 onwards. Items submitted will constitute the CSU open access repository and all items are retrievable through open access search engines. The CRO Repository is searchable through the CSU web site and full text items are available for download. CRO will be used to determine funding under the Publications Grants Scheme and to provide data to the Promotions Committee.
F or 2007, citation details will be used to calculate DEST points (in the absence of the appropriate pre-published version of the publication) however everything possible should be done to place a pre-print version on CRO. For 2008 publications, the pre-print draft must be entered onto CRO to count for Publication Points.
References to research output on staff websites should be citations only. Full text versions of research should be submitted to CRO. Links can be made to CRO from references on staff web pages.
2. SUBMISSION POLICY
Eligible depositors
All CSU Staff and Students are eligible to contribute to DEEWR Higher Education Research Publication Data Collection.
Material for inclusion in CRO
Acceptable versions of research documents are:
- the final accepted, post peer-reviewed and pre-publication manuscript. This is most likely a Word document.
- the published version of the manuscript as a pdf file if publisher permission is granted.
- If you have not kept an electronic copy of the final accepted draft of your 2007 then only the citation details can be made available on CRO.
Any publication which would be included under the Higher Education Research Data Collection (HERDC). These are:
- Refereed journal article
- Refereed Conference paper
- Book Chapter (if allowed by publisher)
- Monograph/Book (citation and abstract only)
Creative works that meet the Creative Works Register Criteria and can be digitised.
- Published Research reports
- Products of research based projects
- Reports to Government
Excluded Material
- Unedited/reviewed personal opinion outputs
- Non academic/non scholarly outputs
- Teaching materials
- Research student’s Dissertations and Theses.
- Material intended for commercialisation
- Material that is culturally sensitive
- Material containing confidential information
- Material that would infringe a legal obligation of the author or the institution, or that would infringe a legal right of a third party
- Material in languages other than English
- Textbooks
3. RESPONSIBILITIES
Depositors:
- Be familiar with the latest version of the CSU Intellectual Property Policy
- Ensure an electronic copy of the final accepted draft (after peer review, before layout adjustments by publisher) is retained for submission to the repository.
- Authors when signing a publishing agreement are encouraged to specify that their information can be available on open access repositories.
- Warrant that to the best of their knowledge and belief that the material deposited is the original work of the submitter and does not infringe upon someone else’s copyright;
- Where the material has been sponsored by another organisation (e.g. a funding body), the author warrants that they have fulfilled any obligations required under the agreement with the sponsor about the use of the material
- When submitting material, authors accept the conditions specified in the repository licence that warrants that they own the copyright to the information or are aware of the conditions in the licence they signed when publishing the item or are aware of the publisher’s policies regarding Open Access.
- Notify the Repository Administrator if material is embargoed and the duration of embargo. Material affected by embargo will be stored in a restricted area of CRO.
- Creative works depositors are responsible for providing the work in a digital format which can be stored and retrieved in an open access environment.
Repository Administrators:
- Create stable URLs for deposited items
- Identify and abide by publisher policies regarding open access to articles via institutional repositories.
- The author grants to the repository the non-exclusive right to reproduce, adapt, publish, electronically communicate and distribute the material for the purpose of making the material available to end-users in the digital repository.
- The repository may keep a copy of the material for security, back-up and preservation
- The repository will provide examples of suggested clauses for authors to utilise when submitting research for publication to ensure that they retain the ability to publish in Institutional Repositories.
- The repository provides a click through licence governing the relationship between CSU and depositors to the CSU repository. Acceptance of this licence is conditional to submitting material to the repository.
4. QUALITY ASSURANCE
- All submissions will be assessed for compliance before they are made available for open access. Depositors can expect a delay between submission and publication in CRO.
- The Centre for Research and Graduate Training (CRGT) is responsible for ensuring quality and compliance of submissions. Submissions are assessed for compliance with the CRO inclusion criteria and DEST requirements for HERDC reporting.
- Division of Library Services (DLS) is responsible for ensuring compliance with Copyright and publisher licences.
- DLS ensures compliance of submissions with established metadata standards in CRO.
- Where issues arise with compliance CRO administrators will provide feedback to the depositor.
