Temporary Access Administration System

The Temporary Access Administration System enables the creation of temporary accounts (maximum 12 months access) for those requiring staff access to CSU IT services and systems including:

  • PhD and RHD students
  • visiting research students
  • external contractors
  • consultants
  • vendors

Six types of accounts can be created:

  • Conference accounts (for external groups using CSU facilities)
  • Temporary staff (ONLY for people who will not be paid by Human Resources)
  • Temporary student
  • Interact2 Guest
  • Contractor Visitor
  • Other type of access

Supervisors of temporary staff must create the temporary account using the appropriate account code/s.

Temporary access accounts must not be created for staff that will be employed and paid by Human Resources. Staff accounts will be created for these employees.

Access

To create a temporary access account, Supervisors must:

  • Open the Temporary Account Administration System page and read the conditions of use
  • Click the relevant link at the bottom of the page
  • Select the account required (conference or non-conference) and enter the account holder’s:
    • staff or student number (if they previously held a CSU account). If you (or the account holder) is unsure of their previous staff or student number, please contact the IT Service Desk
    • first and last names as well as date of birth (if the account holder is new to CSU). Please use formal names and correct spelling
    • current email address. If they do not have an external email address, enter your own
    • current phone number
    • job title
    • division, school, faculty or department the account holder will be associated with
    • campus where the account holder will be located. If they will be off-campus, enter the campus you are on
  • Enter a ‘Start’ and ‘End’ date for the account
  • Choose the required access type
  • Select optional services from the list as required. Note – S Drive access is granted through your Shared Administrator
  • Enter the relevant cost codes (including Fund, Org, Account and Program). This information is needed for internet access

After an account is created, the login and password details are sent to the new account holder. Account details are sent to supervisors along with the fund manager for any account code that was entered.

If your temporary staff member has their employment extended beyond their 'End' date, you will need to update this information via the Temporary Account Administration System. If this information is not updated, your staff member will lose access to CSU IT facilities based on the 'End' date recorded in the system. Supervisors can also terminate temporary access accounts earlier than the end date if required.

Cost

Provision, management, access and support of the Temporary Account Administration System is funded by the University and provided at no extra cost to staff.

  • Change your CSU account password every 120 days. You will lose access to some of your IT services (including the internet) if it expires
