Mobile Devices

Mobile devices at CSU include portable computing devices such as tablet computers and smartphones.

The protection and security of university data stored on or accessed using mobile devices is the responsibility of the device owner. Confidential data should not be stored on these devices where possible.

There are a number of steps you can take to help prevent unauthorised access to your device. Information about the full range of security features and how to use them are located in the user guide for your particular device. Go to manufacturer websites to search for quick instructions or full guides.

DIT recommends setting a password or passcode as a minimum security measure on all mobile devices.

Data Usage

  • CSU has an overall cap for data usage across University mobile devices on the Telstra Business Plan. Data usage on individual devices is drawn from this cap.
  • All CSU mobile devices are subject to reasonable use limits – DIT monitors data usage and contacts high usage individuals.
  • DIT maintains a central register of all CSU mobile devices to monitor the data pool and ensure accurate charging to budget centres.
  • CSU mobile devices connect to the internet whenever necessary, using a wireless connection (if available) or your Telstra data allowance. If a wireless connection isn’t available, apps and services may use your Telstra data.

International Travel

  • To activate international/global roaming on your CSU phone, please contact the IT Service Desk at least 24 hours before you travel. You will only need to do this once
  • If you are not sure if international roaming is activated on your CSU phone, please contact the IT Service Desk for assistance
  • The International Day Pass is enabled only on CSU phones, not tablets. It is automatically applied when using your services (making or receiving calls, sending an SMS or using mobile data) overseas in eligible countries (see list in link above). Note - the Day Pass data top up is not available under the CSU corporate plan
  • It is your responsibility to find out more about International Roaming, including availability, call information and data allowances before you travel overseas
  • You have the option to turn off mobile data roaming and use overseas wireless connections if necessary or preferred when using your device
  • If your travel destination is not covered under the International Day Pass, you might like to purchase a prepaid SIM card for your university phone with one of the vendors who operate within the worldwide travel space e.g. TravelSIM. The TravelSIM works in 140 different countries or alternatively, you can purchase a local prepaid SIM when arriving at your destination

You will have a different mobile number while using a prepaid SIM.

Access

You can purchase specific mobile devices (e.g. iPad, iPhone, Samsung Galaxy) through the CSU Computer Shop for work purposes. CSU uses a Telstra Business Plan for all University mobile devices.

If you wish to purchase a device model not listed, please complete the CSU Computer Shop Enquiry form.

Cost

Availability of mobile devices through the CSU Computer Shop is funded by the University. Costs associated with the sale of a University mobile device through the CSU Computer Shop must be approved by your Budget Manager.

Under the Telstra Business Plan for University mobile devices, bills are processed monthly and charged to the nominated account code via journal.  Business units are responsible for ensuring the expenditure is not excessive and fits within budget.

Monthly rental charges

  • $17.01 for mobile devices
  • $31.01 for mobile tablets

These rental charges include:

  • the first $20 of calls
  • data usage

Limited support is provided by the IT Service Desk to help you connect to CSU services on iOS (iPad, iPhone, iPod), Android and Windows devices. For full technical support, refer to your device user guide or contact the manufacturer of the device.

It is the responsibility of the business unit to log a job with the IT Service Desk regarding:

  • lost and stolen CSU mobile devices
  • account code updates
  • charge enquiries
  • device owner reassignment
  • service cancellations

IT recommendations and tips for international travel

It is recommended that you:

  • Ensure International Roaming is switched on and you are aware of the conditions of the International Day Pass (see International Travel section)
  • See CSU travel for further information
  • Register your travel with the Australian Government Department of Foreign Affairs and Trade
  • See health and security information relating to your destination
  • Check the availability of International Roaming in your destination and that your device will work there
  • Deactivate any international call barring settings before you leave (if applicable). See your device user manual for more information
  • Ensure your CSU phone is turned on while travelling for work purposes. This is important when a natural disaster or security issue arises in a foreign country and the university may need to contact travellers to provide safety advice and further information in relation to an emergency situation
  • Consider your data usage. You have the option to turn off mobile data roaming and use overseas wireless connections if necessary or preferred when using your devices. The International Day Pass provides 200MB of data each day
  • Set up a voice mail and check it regularly. If you’ve got MessageBank set up, you’ll be notified of messages via SMS, just like in Australia. You can still listen to your messages by dialling 101 or #101#
  • Consider converting the mobile phone numbers in your phone book to international format
  • Ensure your device and data roaming are switched on when you get to your destination so it can connect to the local carrier’s network (some devices have to be logged on manually - check your user manual for instructions)
  • Use the international dialling format every time you call someone while overseas. You’ll need to know the country code you’re dialling and adding a ‘+’ in front of the country code and phone number otherwise the call won’t connect
  • Be aware that people calling you from Australia (or another country) will only pay their normal mobile rate but the international forwarding will be billed to you at your international roaming rate. People calling you in other countries will need to dial your mobile using the Australian country code – even if they’re in the same country as you: + 6 1 Mobile number without the leading 0
  • Make sure your SIM card and mobile device are both protected with a PIN while you’re overseas. If your SIM card or mobile is lost or stolen, you’ll need to call Telstra (+61 439 125 109) immediately so they can block the device and limit your responsibility for any unauthorised usage
  • Dial 112 to call local emergency service if required

  • Try these troubleshooting tips if you can’t connect to the local network:
    • Make sure international roaming is switched on and international call barring is switched off before leaving Australia
    • Check for network signal strength on your phone’s display
    • Check that your phone’s network mode and network selection are set to ‘Automatic’
    • Clear any call forwarding or call barring settings that might be blocking your calls
    • Make sure you’re using the right dialling codes for your national and international calls
    • If your phone is still not connecting, try turning it off for a few seconds, then back on

Connecting to CSU email using your Apple device

It is recommended you backup the data on your device, using iCloud or iTunes.

Make sure your device is connected to the internet via a wireless or cellular connection type.

To setup your CSU email account as an additional account

The following steps are for those who have previously setup another email account on their device.

  1. Tap Settings > Mail, Contacts, Calendars
  2. Tap Add Account and start from Step 2 in the next section.

To setup your CSU email account on your device for the first time

  1. Go to Settings > Passwords & Accounts > Add Account > Exchange
  2. On the ‘Exchange’ screen: (Note: Depending on your device, you may be prompted for all or some of the information below. Tap Next to move from one screen to the next)
    1. In the Email field, enter your CSU email address
    2. In the Password field, enter your current CSU password
    3. You can leave the Description field as is or you can type in your own description
    4. You may be required to enter additional server information. If required, enter weboutlook.csu.edu.au in the Server field
    5. Tap ‘Next’
  3. You can sync your Mail, Contacts, Calendars, Reminders and Notes. Note: If you choose to sync your contacts or calendars and already have existing contacts or calendars on your device, you will be prompted to keep or delete them. They will remain separate from your Exchange contacts and calendar.
  4. Tap Save when finished

Connecting to CSU email using your Android device

It is recommended you backup the data on your device.

Make sure your device is connected to the internet via a wireless or cellular connection type.

  1. Go to Menu > Settings > Accounts and backup > Accounts > Add Account > Microsoft Exchange ActiveSync
  2. On the ‘Exchange ActiveSync’ screen:
    1. In the Email address field, enter your CSU email address
    2. In the Password field, enter your current CSU password
    3. Tap ‘Manual setup’ or ‘Sign In’
  3. On the ‘Exchange server settings’ screen:
    1. Update Domain\username field to: csumain\your username (no spaces)
    2. Update Exchange server field to: weboutlook.csu.edu.au
    3. Leave ‘Use secure connection (SSL)’ selected
    4. Tap ‘Sign In’
  4. On the ‘Remote security administration’ pop-up, select ‘OK’
  5. In the ‘Account options’ screen, you can select when your phone downloads emails from CSU email servers:
    1. You can alter when peak and off-peak times are within your phones email settings
    2. ‘Push’ means that emails will be delivered to your phone as soon as an email is received to your email account
    3. ‘Period to sync email’ means the number of days that your phone will keep emails available on your phone. Emails aren’t deleted unless you select an email and delete it
    4. ‘Emails retrieval size’ is how much of an email the phone will download initially, before giving you the option to download the rest while reading the email
  6. Tap ‘Next’ to move to the final screen and complete the configuration process
