ELT021 Conference & Events Management (8)

Abstract

The conference and event sector is growing in importance with increasing potential for generating high operating profits, and increasing requirements for sophisticated planning processes. Conference and event management has long been recognised as a specialist area of hotels, convention centres and other organisations, such as sporting clubs, and non-profit organisations. Operational aspects include accommodation management, food and beverage management, theming events, engineering and technical services, marketing and sales, and program planning.

Upon successful completion of this subject, students should:

Be able to devise and execute a detailed conference plan.
Gain an understanding of factors essential to providing a high level of service with an integrated professional approach.

Syllabus

The subject will cover the following topics:
The first component of this subject exposes students to an overview of conference and event management with an analysis of the nature and structure of the convention industry. This is followed by an evaluation of meeting types such as incentives, conferences, clinics, forums, and symposiums. Students then gain an understanding of the role of specialist providers within the industry, such as the professional conference organizer, meeting planners, incentive houses, and convention and tourism bureaus.
Students analyse conference planning commencing with an examination of conference/meeting/incentive program objectives, conference development, the process of choosing speakers including a call for papers' and keynote speakers, budget, expectation of delegates, registration process and other planning issues.
Students examine conference infrastructure and facilities available. An analysis of conference requirements and factors involved with site selection are reviewed. These include an understanding of the hotel accommodation and reservation process, catering requirements, theming and transportation issues.
Within the conference and event market, audio visual and multimedia technology requirements are becoming more sophisticated. Hence, students will be made aware of the technology and its contribution to conference and event success.
Exhibition management is often a viable and profitable component of conference and events, which provides a forum for demonstrating equipment and products of interest to delegates. Students evaluate costs involved with exhibition management, sources of income, suppliers and contractors, and other exhibition considerations.
