Frequently asked questions

CDAP assessment updates

Frequently asked questions

These FAQs support subject coordinators reviewing and updating assessment information in CDAP and preparing their subject outlines for 202690.

Faculty and School requirements: The resources and PD sessions explain how to undertake assessment activities through the CDAP–SOT process and the University requirements that apply. Your Faculty or School may currently have additional expectations or approval arrangements regarding assessment changes. Please check with your Faculty or School if you are unsure what applies to your subject.

Top FAQs

Check that you are in the open Proposed version for the correct year.

For example:

202690 Subject Outline → 2026 Proposed version in CDAP

If you are viewing an Approved version, you will not be able to edit the assessment information through this process.

If you are in the correct Proposed version and still cannot see Edit in the Assessment Items section, contact your Faculty or School support team to check your access.

Use the open Proposed version for the calendar year of the Subject Outline offering.

For example:

202690 → 2026 Proposed version

Do not select an Approved version or a later-year rollover version simply because it appears more recently in the version list.

Some Task Descriptions and Rubrics could not be migrated into CDAP because the existing information:

  • exceeded the 10,000-character limit;
  • contained tables;
  • contained images;
  • contained datasets; or
  • included formatting or content that could not be accommodated in the CDAP field.

Refer to the most recent Subject Outline and use the existing information as the basis for creating a shorter, reformatted version that can be entered in CDAP.

Essential assessment information must remain in CDAP so that it can be included in the Subject Outline. Additional supporting information can be provided in Brightspace where appropriate.

Check for the following:

  • Task Description or Rubric exceeds 10,000 characters. Shorten the content before saving.
  • A mandatory field has not been completed. Fields marked with an asterisk (*) must be completed.
  • A required response is missing following one of your selections. Check the assessment item for validation messages or incomplete fields.

Save regularly while you work rather than waiting until every assessment item has been updated.

Yes, additional supporting information can be provided in Brightspace where appropriate. This might include expanded instructions, examples, templates, datasets, images or other supporting resources.

However, the essential information students need to understand the assessment and the information required for the Subject Outline must remain in CDAP.

The updated CDAP academic item may not yet be Approved, or the Subject Outline may not yet have been refreshed.

The Subject Outline displays assessment information from the relevant Approved CDAP academic item. If the version containing your changes is still Proposed, SOT may continue to display information from an earlier Approved version.

Once the correct academic item is Approved, refresh the data in the Subject Outline Tool and check the assessment information again.

No.

From 202690, the relevant assessment information is managed in CDAP and flows into the Subject Outline Tool.

If information is incorrect, it must be corrected through CDAP, approved, and then refreshed into SOT.

Only after you have:

  • confirmed that the correct academic item is Approved in CDAP;
  • refreshed the data in the Subject Outline Tool;
  • checked that the correct assessment information is displaying; and
  • completed the remaining required Subject Outline information.

Do not send the Subject Outline to QA while it is displaying old or incomplete assessment information.

Accessing and editing your subject

Subject Coordinator access for this process is limited to the Assessment Items section of the Proposed academic item.

You may be able to view other sections, but they are not being opened for general academic editing through this process.

If you already hold higher CDAP permissions because of another role, your access may differ.

Guide: Finding the Correct Subject Version and Editing Assessment in CDAP

Changes outside the Assessment Items section need to follow the normal CDAP and curriculum approval processes.

The assessment-update process should not be used to make unrelated changes to the academic item.

Search using the subject code, select the subject, open the academic item and navigate to the Versions area.

Then locate the open Proposed version for the correct year.

Completing assessment information

No.

Most assessment information has already been migrated into CDAP. Review what is there, update the information required for the offering, and correct or complete anything that did not migrate successfully.

An asterisk (*) identifies a mandatory field.

All mandatory fields must contain a valid response before the assessment information can be saved successfully.

Save regularly.

A good approach is to save after completing each assessment item or after making a substantial change, particularly when working with long Task Descriptions or Rubrics.

CDAP provides functions to add and delete assessment items.

However, changing the approved assessment structure may require the appropriate curriculum approval. The fact that the system allows an action does not necessarily mean that the change can be made without governance approval.

No.

Tables and images are not supported in these fields. Reformat the essential information as text and use Brightspace for supplementary material where appropriate.

Formatting copied from Word or another system may not transfer cleanly.

Use the CDAP rich-text editor to create headings, numbered lists and bullet lists where possible rather than relying on pasted formatting.

No.

Convert a table-based rubric into the supported text format before entering it in CDAP.

No.

Select the relevant SLOs in the dedicated Subject Learning Outcomes field. They will be displayed in the Subject Outline without needing to be repeated in the Rationale.

Due dates, feedback and assessment settings

If the assessment genuinely has a variable due date:

  1. leave the fixed Due Date field blank;
  2. enter the relevant information in Due Supplementary Information; and
  3. clearly explain the timing arrangements in the Task Description.

Do not simply leave the Due Date field blank without providing information for students.

No.

Where applicable, return-date information is generated for the Subject Outline from the assessment information in CDAP.

Select No Feedback Provided.

This also prevents a return date from being generated for that assessment in the Subject Outline.

Select Yes in the Generative AI field and clearly explain in the Task Description what use of generative AI is permitted for that particular assessment.

The Yes/No field alone does not provide students with enough information about what they may do.

Select Yes where the same assessment applies to every offering of the subject.

Select No where different offerings require different versions of the assessment, then assign each version to the appropriate offering.

This can occur where alternative versions of an assessment have been created for different offerings.

CDAP may count all versions in the indicative total even though students in an individual offering complete only the version that applies to them.

Check that the assessment applying to each individual offering totals correctly.

Review, comments and changes

Reviewer comments can be viewed through the Comments function. A comment indicator may also appear against the relevant section.

Review the comment, make any required change, save the updated information, and reply within the same comment thread to indicate how the issue has been addressed.

Track Changes lets you compare the Proposed version with another version, usually the previous Approved version.

It allows you to see what has been added or removed during the update process.

Field Audit History provides more detailed information about changes associated with individual fields.

Use it when you need more detail than the overall Track Changes comparison provides.

Working between CDAP and the Subject Outline Tool

Yes.

You can create the Subject Outline and continue working on the sections that remain editable in SOT while the assessment is being reviewed in CDAP.

Until the relevant academic item is Approved and refreshed, however, the assessment information displayed when viewing the outline may still reflect an earlier Approved version.

The CDAP-sourced Assessment and Exam Items do not appear in SOT Edit mode because they cannot be edited there.

When editing the section, you will instead see the information that continues to be managed in SOT, including mandatory fields such as:

  • Extensions;
  • Penalties for late submission;
  • Resubmission; and
  • Feedback processes.

The CDAP-sourced assessment items are visible when viewing the Subject Outline.

Refresh after the correct CDAP academic item has reached Approved status and the updated information is available to SOT.

You should then check the assessment information before progressing the outline to QA.

First check the relevant Approved version in CDAP.

If the information is incorrect in CDAP, it needs to be corrected through the appropriate CDAP process and approved again before another refresh.

If the correct Approved information is present in CDAP but SOT still displays the wrong information after refresh, seek system support.

No.

The substantive academic review of the assessment occurs in CDAP.

Subject Outline QA should focus on the complete outline and confirm that the approved assessment information has transferred and is displaying correctly, rather than repeating the full assessment review.
